What you'll accomplish
Every time you open a fresh ChatGPT or Claude chat to draft a listing or a customer reply, you re-explain the same things: what your brand sounds like, what your return policy says, what your bestsellers are. A dedicated assistant built once, with that context loaded in, skips the re-explaining. You open it, ask for a listing or a reply, and it already knows your shop.
What you'll need
What you should see: Three files ready to upload: a brand voice doc, a catalog export, and a policy doc. Troubleshooting: If you don't have a written brand voice document yet, write five sentences your ideal listing or customer reply would include, and five it never would. That's a working starting point.
What you should see: A configured GPT with your name, description, instructions, and three uploaded files listed under Knowledge. Troubleshooting: If the Configure tab isn't visible, confirm you're logged into a Plus account. Free accounts cannot create Custom GPTs.
If you already pay for Pro rather than ChatGPT Plus, a Claude Project does the same job.
What you should see: A Project workspace with your files listed under its knowledge base, ready for any new chat started inside that Project to reference automatically. Troubleshooting: Every chat started from inside the Project inherits the same files and instructions; a chat started outside the Project won't see any of it.
What you should see: Output that references your actual product names, prices, and policies without you retyping them, in a tone that sounds like your existing listings. Troubleshooting: If the output ignores your catalog details, double-check the file uploaded correctly and that it's in a supported format (PDF, DOCX, CSV, or plain text work reliably in both tools).
What you should see: Output getting closer to what you'd actually publish, with fewer corrections needed each time you use it. Troubleshooting: If it keeps inventing product details that aren't in your catalog file, add an explicit instruction telling it to say "not in my catalog data" rather than guessing when it isn't sure.
Custom instructions to paste when first setting up your GPT or Project:
You are my shop's writing assistant. Use the brand voice document, product
catalog, and policy files I've uploaded as your source of truth. Match my
tone: [describe it in a few words, e.g. "warm, direct, a little playful,
never salesy"]. Never invent product details, prices, or policy terms that
aren't in the uploaded files. If you're not sure about something, say so
instead of guessing.
Drafting a listing from the catalog:
Using the catalog file, draft a listing for [SKU or product name] following
my brand voice. Keep it under [word count] words and highlight [feature
that matters most for this product].
A customer is asking about [return/shipping/sizing question]. Using the
policy document you have, draft a short, on-brand reply. Do not include
any customer name, order number, or contact details in your answer, since
I'll add those myself before sending.
Checking for drift after a few weeks of use:
Compare the last five things you drafted for me against my brand voice
document. Point out anywhere the tone or word choice drifted from it.
